  • Delegated access, not shared passwords. Gmail, Google Workspace, Outlook and Microsoft 365 all support proper delegation or shared mailboxes.
  • Minimum necessary access. Permissions limited to what the role actually requires, rather than blanket access because it is simpler.
  • Multi-factor authentication enabled wherever the platform supports it.
  • Written instructions and escalation rules agreed before access is granted.
  • Access removed when the arrangement ends or the role changes.

Two things worth being straightforward about. First, we hold no security certifications and will not claim otherwise. Second, because our assistants are based outside the UK, giving them access to UK personal data may amount to an international restricted transfer under UK GDPR, which can require an appropriate safeguard and a transfer risk assessment.
