Clinic admin involves genuinely sensitive information. Medical histories, consent forms and treatment records are special category health data under UK GDPR, and they deserve more care than a general admin inbox.

Two points matter here. First, where an external provider processes personal data on your behalf, UK GDPR expects a written controller-processor arrangement and clear documented instructions. Second, because our assistants are based in the Philippines, granting access to UK personal data may amount to an international restricted transfer, which can require an appropriate safeguard such as the UK International Data Transfer Agreement together with a transfer risk assessment.

In practice, most clinics start narrower than they expect to. Enquiries, bookings, reminders and marketing rarely require access to clinical records at all, and a great deal of value can be delivered without it. Where record access is genuinely needed, we work through permissions during onboarding — separate user accounts, access limited to what the role requires, multi-factor authentication where available, and access removed when it is no longer needed.

Clinics handling patient data should take their own professional advice on their data protection obligations. We can tell you how we work; we cannot assess your clinic's compliance position for you.

Frequently Asked Questions

Can a virtual assistant work with Fresha or my clinic software?

Yes. Our assistants work within booking and clinic management platforms such as Fresha, Treatwell, Timely and Phorest, as well as Google Calendar and Outlook. Access is arranged through your own system with appropriate user permissions, so you keep full control and can see exactly what has been done.

Can they answer Instagram and WhatsApp enquiries?

Yes. Instagram, Facebook, TikTok, WhatsApp and email enquiries can all be handled in your clinic's tone of voice, using approved information about treatments, pricing and availability. Anything clinical, or any question outside the agreed scope, is escalated to you rather than answered.

Will the assistant give clinical or medical advice?

No. Assistants handle administrative and customer-facing work only. They can share approved general information about treatments, aftercare documents you have written and pricing, but any clinical question, suitability assessment or medical concern is passed to a qualified practitioner.

Is it safe to give a virtual assistant access to patient records?

This needs care.
